If you are the executive assistant arranging an Interlagos visit, confirm two separate commitments: admission to the race and the services supporting the visit. Official event information

Match the vehicle and booking unit to the visit

Your assistant should compare a fixed transfer with a vehicle booked for an agreed period. A transfer suits defined endpoints; an agreed period can cover several commitments, but its hours and permitted use need to be specified. Ask for the unit, any minimum, currency, waiting, extensions, tolls, parking and cancellation terms. No fixed rate or universal lead time is offered here: confirm availability and mobilization for the actual dates before committing.

Do not choose armor merely because the visit is for Formula 1. Start with the travelers’ needs and an appropriate assessment. If armor is required, ask which standard and vehicle documents support the proposed configuration; a level label alone is insufficient. Confirm passenger and luggage capacity, the chauffeur’s role, and how the provider checks identity, driving entitlement and fitness for the agreed service. A chauffeur booking does not by itself include a private-security assignment.

Ask who is accountable and who is authorized

If you are the chief of staff comparing proposals, ask one joined question: who is answerable for the whole agreed visit, and how will that operator direct any appropriately authorized private-security provider? Request the responsible legal entities and service scope in the proposal. A brand name, ticket or vehicle photograph does not establish authorization.

Article 4 of Brazil’s Law 14,967/2024 requires prior Federal Police authorization for private-security services. That is distinct from race admission or an ordinary chauffeur booking. Confirm which authorized company executes any regulated component and request the supporting documentation. Ask separately what transport and security insurance cover; one policy does not establish coverage of every activity.

Test the proposal against a changed plan

Consider a fictional booking: an assistant has race admission and a hotel, while one proposal covers airport and circuit transfers and another covers an agreed service period. If the arrival changes or the return runs later, your travel manager should ask how each proposal handles waiting and extension before comparing totals. Neither option is automatically better; undefined waiting terms make the prices incomparable. The official race calendar supports the event dates, not the availability of a car or entry privileges.

Name the airport from the actual ticket, rather than writing only “São Paulo airport,” and list the hotel, Interlagos and any onward destination. Your assistant should obtain coverage confirmation for every destination. Organizer notices determine event access arrangements; keep collection details private. For immediate danger use public emergency services: Anatel lists 190 for police, 192 for SAMU and 193 for firefighters. A transport or protection inquiry does not dispatch emergency help.

  • Keep personal and itinerary details in the agreed private channel.
